Light Fixtures Guide

(Downlights / Track Lights / Pendants / Wall Lights)

We’re happy to support owners who wish to self-purchase light fixtures. However, when items are not sourced from our recommended suppliers, compatibility, coordination, and warranty responsibility sits with the owner, and it may impact timeline and cost. This guide sets clear expectations so the renovation stays smooth and dispute-free.

1) Important Clarification: Light Fixtures Are Not Included Unless Stated

Unless clearly stated in your quotation:

  • Light fittings (downlights / track lights / pendants / wall lights) are not included
  • Electrical works typically cover wiring points and installation, not the supply of lighting products

Example: We provide lighting points and install the selected fixtures, but the fixtures themselves (and any special accessories) are supplied by the owner unless quoted.

2) Two Options: Use Our Recommended Supplier vs Owner Self-Purchase

Option A — Purchase via Our Recommended Supplier (Smoothest Option)

When lighting is purchased through our recommended suppliers, we can manage the full flow, including:

  • Delivery coordination and timing
  • On-site checking (quantity, model, condition)
  • Labelling and sorting by room/area for installation
  • Discussion and alignment on light type and quantities
  • Handling wrong/short deliveries (exchange / re-delivery / follow-ups)
  • Post-installation warranty coordination with supplier (where applicable)

Result: Faster installation, fewer site disruptions, clearer accountability.

Option B — Owner Self-Purchase (Allowed, With Conditions)

If you choose to self-purchase, we can install based on what is provided, but:

  • Owner is responsible for correct selection, completeness, and compatibility
  • Owner manages supplier mistakes and warranty claims
  • Wrong/short/missing items may lead to additional charges and rescheduling

Example: If 20 downlights are required but only 16 arrive, we may proceed with partial installation and schedule a return visit after the balance arrives (re-trip applies).

3) What We Provide (Design Support)

By Design will prepare the lighting layout plan based on the agreed design and intended ambiance.

Owners may use our plan to consult your preferred lighting shop/consultant. If your supplier recommends changes (e.g., different beam angle, wattage, cut-out size), please inform us early — we can update the plan on our end and proceed accordingly.

Note: For projects using our recommended suppliers, we also work closely with our partner lighting consultant to align design intent and technical suitability.

4) Owner Responsibilities for Self-Purchase Light Fixtures

Before installation, the owner must provide:

  • Final product list (model numbers + spec sheets)
  • Quantity and locations (room-by-room)
  • Installation type (recessed / surface / track / pendant / wall light)
  • Cut-out size and depth requirement (for recessed lights)
  • Dimming / smart control details (if applicable)
  • Delivery confirmation: all items must arrive before the installation window

Why this matters: Light fixtures affect wiring points, ceiling clearance, and installation sequencing.

Example: A downlight may have the correct cut-out size but requires deeper ceiling clearance than available → it cannot be installed without changes.

5) Delivery & Receiving Policy (Owner Self-Purchase)

✅ Owner arranges delivery and ensures items are ready for installation.
❌ By Design does not receive, store, sort, or manage owner-purchased lighting deliveries.

Example: If a seller delivers to the unit without room labels or delivers on a day no one is present to receive, the owner must resolve it directly with the seller.

6) Labelling Requirement (Mandatory)

Please instruct your seller to label items clearly by:

  • Room/area (e.g., Living / Kitchen / MBR)
  • Type (e.g., Downlight / Pendant / Track)
  • Quantity per area

If items arrive unlabelled, installation may be delayed and/or additional coordination time may be chargeable.

Example: Multiple identical boxes arrive without labels → additional time is needed to sort and confirm, increasing error risk.

7) Compatibility Guidelines (Common Issues)

Owner-supplied fixtures must be compatible with site conditions, including:

  • Voltage requirements and compatibility
  • Dimming compatibility (if applicable)
  • Cut-out size, depth clearance, and mounting method
  • IP rating requirements for wet areas (bathroom/balcony)

Examples

  • Bathroom lights without suitable IP rating may not be appropriate for wet areas.
  • A “trimless” downlight requires different finishing compared to a standard recessed downlight.

8) Smart Lighting / Dimming (Must Declare Early)

If you are using smart switches, smart dimmers, or smart lighting systems, please inform us early, including:

  • brand/system (e.g., Zigbee, Wi-Fi, proprietary hub)
  • whether neutral wire is required at switch points
  • dimming type (TRIAC / 0–10V / DALI etc., if applicable)

Why this matters: Some smart systems require wiring provisions that must be planned before electrical works are finalized.

Example: Owner buys smart switches later and finds neutral wire is required → additional rewiring may be needed (chargeable).

9) Special Note: Rimless / Plaster-In Fixtures Must Be Declared Early

If the owner purchases rimless or plaster-in fixtures, please inform us early. These systems may require:

  • Additional plastering/finishing work
  • Patching and repainting around the fixture border
  • Additional coordination and time

These works are not included unless stated, and may be chargeable.

Example: Plaster-in fixtures require a smooth finishing stage; if discovered late, it can disrupt painting and touch-up sequencing.

10) Short / Wrong / Missing Items: Re-Trip Charges Apply

If any item is:

  • short in quantity
  • wrong model/spec
  • missing accessories (brackets, connectors, etc.)
  • damaged or defective

and this results in additional site visits or return trips, then re-trip charges and additional labour charges will apply.

Examples

  • Missing mounting brackets → installation cannot be completed → return visit required.
  • Wrong cut-out size supplied → cannot install without changes → reschedule/rework may be needed.

11) Re-Installation Due to Supplier Error or Change Request (Chargeable)

If the wrong item is supplied (or the owner later replaces items) and requests:

  • removal and re-installation
  • re-alignment
  • replacement works

this will be treated as a Variation Order (VO) and charged accordingly.

Example: Installed surface downlights first; later owner changes to recessed downlights → removal + reinstall is chargeable.

12) Pendant Lights (Special Handling & Liability)

Certain pendant lights may be fragile, heavy, high-value, or require specialist mounting. For safety and insurance reasons:

  • By Design reserves the right to decline installation of specific pendant lights (e.g., high-value, fragile, complex mounting systems, oversized/heavy fixtures).
  • For specialty pendant lights, installation is typically handled by the lighting supplier/installer.

If By Design installs owner-supplied pendant lights:

  • Owner must ensure the correct mounting parts are provided and ceiling structure is suitable.
  • Any damage to the pendant light itself during handling/installation will not be covered under By Design’s liability.

Example: Imported glass pendants or designer chandeliers are usually installed by the seller’s specialist team due to mounting and handling risks.

13) Product Specifications vs Real-Life Outcome (Owner Self-Purchase)

Different sellers may state specifications differently (e.g., wattage, brightness, colour temperature). Actual on-site outcome can vary due to product batch, driver/dimmer compatibility, and installation conditions.

By Design will install based on the provided specifications, but we do not guarantee:

  • exact brightness outcome vs seller listing
  • perfect colour consistency across different brands/batches
  • flicker-free performance if compatibility is not confirmed

14) Safety Mark (Singapore Requirement)

For safety and compliance, owners should purchase lighting products that carry the appropriate Singapore Safety Mark / approved compliance marking where required.

Implication:
Non-compliant products may pose safety risks and By Design is not liable for any liability arising from it.

15) Warranty Clarification

  • Product warranty: between the owner and the owner’s supplier/manufacturer
  • Installation workmanship warranty: By Design covers installation-related issues only (e.g., mounting and wiring connection faults)
