Vinyl Flooring Works Guide (For Owner-Appointed Vendors)
If you engage your own vinyl flooring contractor, we can coordinate the schedule around our renovation sequence. To avoid delays, damage, and “defect” disputes, please take note of the following.
1) Responsibility & Scope Boundary
- Your vinyl contractor is engaged directly by the Owner.
- The Owner is responsible for the contractor’s workmanship, timeline, protection, and warranty.
- By Design’s warranty covers By Design’s workmanship only.
If you request By Design to rectify any issues caused by vinyl works, it will be treated as a chargeable Variation Order (VO).
2) Timing Matters (Plan Vinyl Properly)
Vinyl can be done in different stages depending on site condition and your contractor’s method, but it must be planned early.
Common approaches:
- Option A: Vinyl before heavy renovation works (lower risk of rework to cabinets, but higher risk of scratches if protection is poor)
- Option B: Vinyl after major works, within a controlled window (lower scratch risk, but must ensure skirting/door clearance/details are confirmed)
We will advise a suitable window based on project progress, but we will not re-arrange our schedule last-minute if vinyl timing changes.
3) Key Technical Items to Confirm Before Any Works Start
To prevent rework later, the Owner/vinyl contractor must confirm these early:
- A) Material system
- Vinyl type (e.g., SPC/LVT), thickness, and underlay (if any)
- Installation method (click system / glue-down)
- B) Subfloor readiness
- Whether levelling/patching is needed
- Moisture requirements (if the contractor has specific criteria)
- Who is responsible for levelling works (vinyl contractor vs others)
- C) Skirting & edge details
- Skirting type (vinyl skirting / existing skirting / new skirting)
- Expansion gaps and edge finishing approach
- D) Transition details
- Bedroom-to-living, kitchen threshold, balcony, bathroom entrances
- Any metal trims / reducers required (who supplies)
- E) Door clearance
- Door leaf clearance after vinyl thickness
- Toilet door threshold (especially where tiles remain)
Important: If vinyl thickness/details are confirmed late, it can affect carpentry alignment, skirting lines, and door finishing.
4) Access & Communication Rules
- We recommend a group chat with the Owner and vinyl contractor for access coordination.
- English text only, no voice messages (Owner to translate if needed).
- By Design will only confirm when the site is ready and when the contractor may enter based on sequencing. We do not chase or manage your contractor.
5) Protection & Cleanliness (Non-Negotiable)
Vinyl is easily damaged by:
- ladders, trolleys, tools, debris
- other trades moving materials in/out
- dragging heavy items across the surface
Your vinyl contractor must:
- protect floors during transport and installation
- protect corners/frames when moving planks and equipment
- clear debris and dispose responsibly after works
Any scratches, dents, stains, or damaged edges caused by the vinyl contractor (or subsequent third-party traffic) are not renovation defects.
6) Rework, Re-Trips & Schedule Impact
Our schedule is planned at least 10 days in advance. If vinyl works cause:
- delays to our next trade,
- rework to completed finishes, or
- additional return visits by our team,
then it may result in chargeable re-trips/VO, in line with our re-trip policy (minimum charge applies).
7) Quick Owner Checklist (Before Booking Vinyl)
Please confirm with your vinyl contractor:
- ✅ final thickness + underlay system
- ✅ whether levelling is required and who is doing it
- ✅ skirting method + transition trims
- ✅ door clearance impact
- ✅ exact install dates (aligned to our approved access schedule)
- ✅ protection plan during and after installation
