Aircon Contractor Coordination Guidelines (For Owner-Appointed Vendors)
To ensure smooth coordination between your appointed aircon contractor and our renovation schedule, please take note of the following:
1) Appointment Timing
- All site coordination meetings should be scheduled for 10:00 AM.
- Please ensure the decision maker from the Owner’s side is present.
- Maximum waiting time: 15 minutes. If the contractor or decision maker is late beyond this window, a new appointment will need to be arranged.
- Our team will allocate approximately 45–60 minutes for the meeting.
2) Aircon Works Typically Require 2 Trips (Plan Early)
Most aircon installation involves:
- Trip 1: trunking/piping/drainage routing (earlier stage)
- Trip 2: unit installation and commissioning (usually when the home is almost completed)
Because Trip 2 is near completion, protection and careful handling are especially important.
3) Technical Plans & Documentation (Before Any Work Starts)
The aircon contractor must provide complete layout drawings clearly indicating:
- trunking route
- piping route
- drainage route / fall direction
- indoor unit locations and outdoor unit location
After the meeting, the aircon contractor / Owner should share a short video walkthrough summary of the confirmed routing and key decisions in the group chat for clarity and record.
Important: Routing must be confirmed before ceiling/carpentry closing. Any late changes that require patching/touch-up/rework may be chargeable and may affect the timeline.
4) Site Coordination Scope (Included vs Chargeable)
- By Design includes up to 2 on-site coordination meetings between the Owner and the aircon contractor as part of our service.
- Any additional visits required due to changes, delays, repeated discussions, or re-confirmations will be chargeable at $150 per visit (up to 60 minutes).
5) Protection of Works & Clean-Up (Mandatory)
The aircon contractor is required to provide adequate protection during works, such as:
- floor protection sheets
- corner guards / wall protection
- careful handling of ladders, tools, and bulky equipment
The contractor must also clear debris after works.
Any damage caused by the Owner-appointed contractor (e.g., scratches, dents, stains, chips) is not considered renovation defects.
6) Communication & Responsibility
- The Owner may create a group chat to coordinate directly with the aircon contractor.
- English text only for instructions and confirmations; no voice notes.
- By Design will update in the chat only on installation timing and renovation sequence (i.e., when works can proceed).
- As the aircon contractor is directly engaged by the Owner, the Owner shall oversee progress and ensure punctuality.
- Any delays, errors, or damages caused by the appointed contractor that affect the renovation schedule will not be held under By Design’s responsibility.
7) Scheduling Expectations (Important)
Our schedule is planned at least 10 days in advance. If an urgent re-visit is requested and we can squeeze in via overtime, this will be chargeable.
